Our client, a NYC (Midtown) based investment firm, is seeking a smart, organized, and personable Executive Assistant to support the Managing Director – Head of Private Equity and the broader team. This is a highly visible role offering direct exposure to a small, driven investment team and is ideal for someone who thrives in a collaborative, fast-paced environment. The successful candidate will be proactive, detail-oriented, and solutions-driven, with strong communication skills and the ability to operate with discretion and professionalism.

POSITION: Executive Assistant to Managing Director – Head of Private Equity & Team
LOCATION: Midtown, Manhattan
HOURS: 8:30am - 5:30pm (with flexibility and connectivity outside of standard hours)
OFFICE REQUIREMENTS: Monday - Friday, In Office
COMPENSATION: $115-145K DOE + Bonus & Benefits
BACHELOR'S DEGREE REQUIRED: Preferred

Responsibilities of the Executive Assistant:
-Provide dedicated administrative support to the Managing Director – Head of Private Equity and broader team
-Manage complex calendars across multiple time zones
-Anticipate scheduling needs and resolve conflicts proactively
-Schedule calls, reserve and set up conference rooms, register guests with building security, and make dining arrangements
-Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries
-Provide support to finance team and assist with reimbursements, allocations, and expense tracking
-Support office operations, document management, and workflow tracking
-Provide general onsite support, including light IT troubleshooting as needed
-Partner with EAs across offices (CA and NY) to ensure seamless coordination
-Serve as a professional point of contact for internal teams, investors, stakeholders, and vendors
-Assist with investor meeting coordination, materials preparation, and printouts
-Support research tasks, offsite logistics, and firm events
-Maintain strict confidentiality while representing the firm with professionalism and warmth

Requirements of the Executive Assistant:
-1–3+ years of experience supporting senior executives; finance or startup experience a PLUS
-Advanced proficiency in Microsoft Office (Outlook, Excel, Word), Zoom, and office technology
-Highly organized, detail-oriented, and able to manage multiple priorities under pressure
-Friendly, personable, and solutions-oriented with a strong work ethic
-Excellent written and verbal communication skills
-Strong sense of ownership and enthusiasm for contributing to a growing, collaborative team
-Verifications of identity, education, prior employment, and references may be required
