Executive Assistant
Our client, a boutique investment management firm, is seeking a highly organized and proactive Temp to Perm/Perm Executive Assistant to provide comprehensive support to the Founder/CIO and the office. JOB DETAILS
COMPANY: Investment Management Firm
ROLE: Temp to Perm/Perm Executive Assistant
LOCATION: Midtown, Manhattan, relocating to the Grand Central area in late November fully onsite
HOURS: 8:30am-5:30pm with flexibility to work early mornings and/or evenings as needed
SALARY:$90k-$115k base depending on experience plus benefits and bonus eligible
Responsibilities:
- Primary administrative support to the Founder/CIO, including calendar and inbox management, travel, meetings and day-to-day priorities.
- Proactively manage the Founder/CIO's schedule, follow-ups and administrative needs.
- Support the Head of Partner Relations with fundraising and investor meeting scheduling and logistics.
- Coordinate investor and external meetings, including conference rooms, catering and materials.
- Greet investors and other visitors and ensure a polished in-office experience.
- Support the firm's office move and ongoing office management, including vendors, supplies and deliveries.
- Provide additional administrative support across the firm as needed.
- Assist with expenses, recordkeeping and incoming calls.
- Handle ad hoc projects and requests across the firm with a "no task too small" mindset.
- Be thoughtful and cost-conscious with travel, vendors, purchases and other firm expenses.
- Help build simple, efficient processes as the firm grows.
- Handle sensitive business and personal information with discretion.
Requirements:
- Bachelor's degree required.
- 2+ years of administrative or executive support experience.
- Highly organized, responsive and detail-oriented with strong follow-through.
- Resourceful, proactive and comfortable figuring things out independently.
- Positive, polished and professional with strong communication skills.
- Comfortable wearing many hats in an entrepreneurial environment.
- Cost-conscious with good judgment around the firm's time and resources.
- Collaborative, flexible and willing to jump in wherever needed.
- Curious, eager to learn and interested in growing with the firm.
- Proficient in Microsoft Office and comfortable learning new systems.
