Our client, a leading financial advisory firm, is seeking an Executive Assistant to support a team of executives. The ideal candidate will be a motivated, enthusiastic, high-energy self-starter with exceptional organizational skills. This is a great opportunity to work in a high-level role involving strong communication skills and high attention to detail.
Responsibilities of the Executive Assistant:
- Resourcefully manage calendars for C-suite executives and their respective teams
- Arrange and coordinate travel arrangements including aviation, ground transportation, and itineraries
- Coordinate and plan meeting details (virtual or in person) – including location, IT and media needs (video and/or conferencing software and links), catering needs, and other arrangements (both personal and professional)
- Coordinate general IT support and logistics when needed
- Prioritize meeting requests as they come in to ensure best use of time
- Coordinate special requests and various ad hoc projects assigned by Executive or senior leadership
- Represent the executives through thoughtful and professional correspondence with external stakeholders through various communication channels (phone, text, email)
- Ad-hoc projects as requested
Requirements of the Executive Assistant:
- 5-10+ years of full-time work experience as high-level Executive Assistant
- Experience in corporate or financial services preferred
- Distinctive written and verbal communication skills
- Strong problem-solving abilities
- High level of accuracy and attention to detail
- Excellent organizational skills; ability to manage own workload, prioritize conflicting demands, multitask, and always deliver high quality product while adhering to tight and structured deadlines
- Ability to maintain composure during demanding situations resulting from deadlines or heavy workload by anticipating needs
- Proactive and able to work on own initiative while having the confidence to ask questions when unsure
- Flexible approach is essential to manage both day-to-day work and ad hoc requests
- Discreet with ability to handle sensitive information in confidence
- Must maintain a professional demeanor at all times
- Strong work ethic and  attention to detail and must show care in their work
- Verification of identity, education, prior employment, and references may be required
